How Rongo University issues admission letters & how to download them

Here is how the process works (based on current Rongo University procedures and public announcements):

Admission via KUCCPS (Government-sponsored students)
  • Placement by KUCCPS
    Prospective undergraduates who have sat for KCSE (or equivalent) must apply via KUCCPS (Kenya Universities and Colleges Central Placement Service). After the results are out and placement is done, KUCCPS will assign students to universities and programmes.
  • Rongo University publishes the KUCCPS admission letters page
    Rongo University maintains a page specifically for “KUCCPS Admission Letters” where newly admitted students can download their letters.Login/authentication
    To download the admission letter, students must log into the Rongo University admissions portal, often using their KCSE index number and possibly a password or some credentials.
  • Access the “Admission Letter” section
    Once logged in, look for a link or tab labelled “Admission Letters” (or similar) in your dashboard. Click to view or download your letter in PDF format.
  • Download and print
    After you open it, you download (usually a PDF) and print it to be used on the registration/reporting day.

Admission/offering for Self-Sponsored Students

Rongo University has a separate portal for self-sponsored students to access their admission letters. On Rongo’s application portal, there is a section titled “Download Admission Letter (Self-Sponsored Students Only)” requiring login (application number/email/phone) to retrieve the letter.

When you apply as a self-sponsored candidate, after submission of your application and payment of application fees, you will receive correspondence (or access) from the application portal.

Deadlines, deferment, and what happens if you don’t respond

  • Deferment / not taking up admission
    If, for some reason, you cannot take up the offered admission at the scheduled time, you are required to inform the university (via the Academic Registrar) by filling out the deferment form (Form RUC F2 / joining instructions form) or writing to the appropriate office. This must be done at least one week before the date of registration.
  • Forfeiture of admission
    If you fail to inform the university of your deferment and also do not appear for registration, your place may be forfeited, and the admission may be cancelled. Rongo University states that failure to inform is considered as having forfeited your position.
  • Inter-programme transfer
    Students who wish to transfer from the programme initially offered may be allowed to apply during the first two weeks of the reporting period, subject to availability.
  • Timely issuance of letters
    Rongo University’s admission policy includes a target: to have at least 70% of admission letters done and dispatched three months before the opening date of the academic year.
  • Reporting / Submission of hard copies
    Even though you download the admission letter electronically, you may be expected to submit hard copies of required documents (original certificates, birth certificate, ID) when reporting to campus.

Common challenges & tips

  • The student is unable to find/download the letter.

    Ensure you have originals and certified copies of your academic certificates, ID / national identity/birth certificate available and ready for submission.
  • Funds & payments
    Be aware of the fee structures, how to pay, banking details, deadlines, and financial aid (scholarships, loans). Some offers are contingent on payment or proof of funding.
  • Print and safekeep
    Once downloaded, print a clean copy of the admission letter, perhaps two copies, and retain a digital backup.
