Updated October 2026. Use your institution’s current instructions where requirements differ.

A portal problem can involve the website address, an account, a password, browser settings or the institution’s records. Identify the symptom before changing information or sending personal documents. A page that looks familiar is not enough to establish that it belongs to your institution.

Reach the portal from the official website

Begin on the institution’s main website and use its student or applicant link. Be cautious with an address copied from an old article, a message or a search advertisement. Check the domain and the page’s context before entering account details.

The NCSC’s phishing guidance explains how deceptive messages and websites can be used to obtain personal information. Use a verified institution contact when you are uncertain about a link.

Identify the problem accurately

Symptom What to investigate
Page will not open Official address, service notice and connection
Login rejected Correct account type and official recovery process
Record not found Application reference, study period and institution record
Upload fails Required file format, size and readable contents
Status seems inconsistent Exact message and the office responsible for that stage

These are starting questions, not diagnoses. A generic guide cannot determine the cause of an error in a private account. Follow the institution’s published instructions and any service notices.

Check that you are using the right account

Institutions may use different systems for applicants, registered students and alumni. Confirm which service applies to your current position. A student number or application reference is not necessarily interchangeable with the username for every service.

Do not create repeated accounts simply because a login fails. Check the official account-recovery route and ask support about a duplicate record if necessary. Keep your contact details current through the institution’s approved process.

Use account recovery carefully

Follow password-reset instructions reached from the official portal. Keep recovery codes and one-time passwords private. If an unexpected message asks you to disclose a code to another person, verify the request independently before acting.

Avoid sending a password to a support mailbox. A useful support enquiry describes the error and account type without supplying the secret used to access it. Use the institution’s secure verification process if identity confirmation is required.

Prepare a useful error record

Note the exact error, the page or service, the time and the action you attempted. A screenshot can help, but remove unnecessary personal information before sharing it. State whether the problem happens before login, after login or during a particular task.

Explain any troubleshooting already attempted. For example, say whether you reached the service from the institution’s main website and whether it displayed a maintenance notice. Avoid claiming that the system has rejected an application when the problem is only account access.

Handle document-upload problems separately

Check the current file requirements, open the file and confirm all pages are present. If a file is unreadable or protected, use the institution’s suggested method for supplying a valid copy. Do not edit official marks or remove required information to make an upload succeed.

For an example of a provider’s own requirements, see Cambridge’s supporting-document instructions. Those requirements apply to that process; use the correct checklist for your institution.

Ask for the next action

Send the support team a short factual summary and the reference needed to locate your record through its verified channel. Ask what to do next and whether the issue affects a deadline. Do not assume a technical problem automatically extends the application period.

Keep the enquiry confirmation and any response. Once access is restored, check whether your intended submission actually completed. Being able to log in and having a submitted application are different outcomes.
